Terms and Conditions

These terms cover RepBot's marketing pages, app, and free review-response tool. They explain your responsibilities when using RepBot, how we handle customer content, and how plans, integrations, and changes to the service are managed. App account, Profile-plan, and credit provisions apply to the app features that use them. The free tool has separate rules below; content and acceptable-use rules apply across the service.

In these terms, “we,” “us,” and “our” mean RepBot. “You” means the person or business using the service.

Using RepBot

RepBot provides review management, AI-assisted response drafting, workflow automation, and integration tools for business users.

You are responsible for keeping access to your account secure and for activity carried out through your Workspace.

Website visitors

You may browse our website to learn about RepBot and contact us. The acceptable-use rules below apply to the website as well as the app. Visiting the website does not start a subscription or grant access to paid app features.

Our website content, branding, and software belong to RepBot or their respective owners. Browsing the website does not transfer ownership of those materials to you. Use of third-party materials remains subject to their owners' rights.

App accounts and access

A Billing Account holds billing and subscriptions. A Workspace organizes your team and its access. A Profile is the business review unit used for review data, provider connections, and response work.

App actions depend on your assigned permissions and the relevant Profile's access. Joining a Workspace does not make you its Billing Account Owner or authorize every billing or team action.

Customer content

You retain ownership of the content you submit, including reviews, response drafts, Brand Rules, and business information.

To provide the service, RepBot needs to work with that content. You grant us the rights needed to host, process, transform, transmit, and display it for that purpose.

AI-assisted output

AI-generated response drafts and removal assessments are suggestions.

You are responsible for reviewing, editing, approving, and publishing any response or appeal material before it is sent to a public platform or third party.

For a connected Google Business Profile, Approve & Publish approves the response and submits it for publication in one action. Manual and CSV responses can be approved in RepBot, but RepBot does not publish them to Google Business Profile. Internal review notes are not sent to review providers or customers.

RepBot does not submit review-removal requests on your behalf. Removing a business's own published response is a separate action.

Integrations

Third-party services, including Google Business Profile and Stripe, have their own terms that govern their integrations with RepBot.

When you connect an account, you authorize RepBot to access it only as needed to provide the features you enable.

Google Business Profile operations require current access for the connected Profile. When that access ends, RepBot stops Google calls and disables the connection token. The retention and reconnection rules are explained in our Privacy Policy.

Plans and billing

Paid Profile plans

Each paid Profile has its own subscription. All paid plans provide the same paid capabilities; the 25-credit, 50-credit, and 75-credit plans differ in their monthly credit allowance. Features still require access to the relevant Profile.

Paid plans renew according to the billing terms shown at checkout unless you cancel. Stripe shows the final total before payment. A Billing Account can contain subscriptions with different renewal dates, payment methods, and monthly or annual billing frequencies.

Annual billing provides a paid annual term with credits issued monthly, rather than the full year's credits at once. Payment must be confirmed before paid access and the associated allowance are granted.

Trial and Free service

Eligible users can start a 30-day Trial with a one-off allowance of 25 credits and one invited-user seat. The Trial allowance does not renew monthly. Trial eligibility is checked against both the user and Billing Account history; creating another Billing Account does not reset a user's Trial eligibility.

Signing in or accepting an invitation does not itself start a Trial. Starting a paid subscription is a separate purchase. At Trial end, the automatic transition to Free service does not create a paid subscription.

Each Billing Account has permanent Free service for one active Profile. Free service has its own limits and does not provide paid Google Business Profile access. Other Profiles need their own eligible access to operate.

How credits are used

Each completed response generation or regeneration uses one credit. Credits pay for completed generations, including alternative drafts; they do not represent a number of unique reviews or published responses.

A response attempt temporarily reserves a credit, reducing the displayed available balance. A failed attempt does not spend that credit when its reservation is released. If the result is uncertain, the reservation can remain held while the attempt is resolved.

Work that has already been authorized, reserved, and sent to the AI provider may finish across ordinary credit expiry or plan changes. Account closure or deliberate access revocation can still stop it. Finishing a draft does not authorize publication after publication access has ended.

Allowances and expiry

Monthly paid plans issue their allowance for each confirmed paid renewal period. Annual plans issue it monthly on the purchase anniversary within the paid term, using the last day of a shorter month when necessary. Free allowances follow a 30-day schedule.

Each credit grant keeps its own expiry. RepBot does not roll unused credits forward or sell top-up packs. Paid grants have a 60-minute credit grace period after their credit window ends, subject to renewal handling and existing reservations. This credit grace does not extend paid features or Google Business Profile access.

Sharing and moving plans

Credits belong to the Profile that received them and remain separate by default. The Billing Account Owner or a Workspace Admin can enable sharing within that Workspace. Eligible Profiles then use their own credits first and may borrow available credits from other Profiles in the same Workspace. Sharing does not transfer credit ownership or create one unrestricted Workspace balance.

To turn sharing off, each Profile currently eligible to spend must have at least one available credit of its own after reservations. If that condition is not met, sharing remains on. Unexpired donor credits may remain available for permitted borrowing even if the donor Profile becomes inactive or archived.

Moving a paid plan to another eligible Profile does not move existing credits, restart the billing term, or grant another allowance.

Plan changes

An immediate upgrade uses Stripe proration for the payment. Its credit increase is the positive difference above the highest paid allowance already credited for the current credit window, rather than an amount prorated by days remaining. For example, an upgrade from a previously credited 25-credit allowance to 50 credits adds 25 credits. Existing credits keep their expiry.

Converting a Trial to a paid plan adds the full paid monthly allowance. Any remaining Trial credits keep their original expiry. Billing-frequency changes also preserve existing credit expiry; new paid coverage depends on confirmed payment.

Review the affected Profile, amount, and effective date shown for a change. Canceling a scheduled change is different from canceling the subscription. Pending billing operations may temporarily prevent additional changes until their outcome is known.

Acceptable use

You may not use RepBot to violate:

  • Applicable laws or platform policies.
  • Intellectual-property or privacy rights.
  • Security controls.

We may suspend access where necessary to protect customers, RepBot, or third parties.

Changes and termination

We may update these terms as the product evolves. If a change materially affects your rights, we will give notice through the service or another reasonable channel.

You may stop using RepBot at any time.

Cancellation, closure, and deletion

Canceling a paid subscription ends its paid access at the end of the paid term. Simply stopping use of the app does not cancel a subscription. Use the subscription cancellation controls available to an authorized billing user.

Free service remains limited to one active Profile. A cancellation that assigns Free service to another Profile may displace the Profile currently using it; the confirmation explains that consequence. A provider-driven ending does not automatically choose a different Free Profile for you.

Profile deactivation and archive are not data deletion. Archive keeps history and is available only for an inactive Profile. Canceling a subscription is not the same as closing the Billing Account, and neither should be treated as a request to delete every person's data.

Account closure is a separate Owner action. Workspace offboarding and related account-administration requests are handled by our support team. For personal-data export or deletion requests, contact our compliance team. Our Privacy Policy explains retention and the choices available to you.

Free review-response tool

The free tool creates AI-assisted suggestions from review details you provide. Using it does not create an app account, start an app Trial, or purchase a Profile plan. The paid app's credit and subscription rules do not describe the free tool's allowance.

Submit only material you are permitted to use. Avoid unnecessary personal information, and review and edit each suggestion before using it. The tool provides drafts; it does not publish them to Google Business Profile on your behalf.

The tool uses Cloudflare Turnstile and Fingerprint device/network verification to help prevent automated abuse and support usage controls. Do not bypass these checks or evade applicable limits. Requests may be restricted when required verification fails or an applicable usage limit is reached.

Device identification begins when you interact with the form and may occur before submission. This is separate from ordinary marketing-page browsing and app analytics. Our Privacy Policy and Cookie Policy explain the additional processing, including separate quality-review records.
